CLOCK - User Guide



SMART TIME CLOCK AND STAFF SCHEDULER

CLOCK is a shift management app that connects to your RESTOCK dashboard. In addition to allowing your employees to view their shifts and clock in/out directly on their phones, CLOCK calculates your establishment's payroll ratio in real-time. This key information allows you to quickly decide whether you need to reduce or increase the size of the team in place. and thus maximize the cost/benefit balance of your establishment.


Configuration



Activating CLOCK



To activate CLOCK, go to Location > Integrations, then press the Add button under the STAFF MANAGEMENT subsection. Choose the CLOCK module from the panel.



Optional: To configure NFC tags, first press the "..." icon to open the option menu and choose View / Edit. A window will open allowing you to add as many tags as you want . For each, you must specify a name or location as well as the serial number.



Now that CLOCK is activated, you need to configure your departments, roles, stations and team members.


Management of departments, roles and stations



The departments bring together the different workstations in your establishment. To add a department, simply press the ( + ) button. To add a station to a department, press ( + ), name the station and select a color to serve as a visual cue in the schedule. Finally, create the different roles that you can assign to each member of the team (eg: cook, waiter, dishwasher, etc.).




Team management



Before assigning shifts, you must first add members to your team and send email invites with instructions about downloading and using their CLOCK account. To do this, first click on Team management:



then click Add..:



A first window will open in which you must enter either the email or the telephone number so that the system ensures that the employee does not already exist:



The next step is to complete the employee file:



Once completed, you can personalize the availability of this employee in order to avoid having a shift assigned to him when he is unavailable (e.g. illness, school, vacation, training, etc.):



To invite someone to the CLOCK app, click on the phone icon from the employee list:



A window will open with the current status. Click Send invite.



The employee will then receive an email with instructions on how to install the CLOCK app on his smartphone.


Schedule and shift assignment



To create a work schedule, tap New schedule:



Then select a week from the calendar:



Press Add, then select an employee box in the panel and drag it onto the schedule:



Proceed in the same way to add shifts by dropping each shift on the desired day:





To publish a schedule and thus send push notifications to your employees, press Publish.



Your employees won't be notified of schedule changes until you publish them.




Editing a shift


To edit the start/end time of a shift, change station or simply delete a shift from the schedule, simply unlock the schedule and click on the shift to edit:




Replacement management



The replacements list allows you to reassign a shift to another person.



To reassign a shift, simply select a person from the replacement list and press confirm. A notification will then be sent to the people concerned and the schedule will be updated automatically.

Installation



From the invitation email, click on the download button (via App Store or Google Play depending on your device type) and proceed with the installation. Once the installation is complete, click on the Login button in the email. The CLOCK app should open and log you in automatically.



Features



Overview of the app:

My shift (home screen)


On this screen your shifts are displayed by date and location. Each of the shifts displayed has a proper start/end time as well as a station.

Start/End a shift
Click on any shift from the list to access the time clock.



Then press the START button located at the bottom of the screen.



If your employer requires NFC signal detection, you must bring your device close to the NFC tag to detect the signal and unlock the timer.

When the timer has started, the start time is written (in green) in the upper part of the screen. To end a shift or temporarily stop the timer, simply press the STOP button. The time will be written in red. You can repeat this operation as many times as you want during the same shift (e.g.: break, meal, appointment, etc.).




REPLACEMENT REQUEST


To request a replacement, simply press the Replacement request button located at the top of the shift detail sheet:



A window will open allowing you to specify a reason for the replacement:



When the request is sent, a message is automatically displayed in the chat allowing other team members to volunteer to take this shift (requires approval by the manager).




MESSAGES


Communicate easily with other team members and/or apply on replacement requests.




SETTINGS


The settings screen allows you to:

log out;
update your email address and/or phone number;
obtain a copy of your data;
delete your account permanently;
