Theoretical Inventory

RESTOCK tracks the quantities in stock for each of your products and recipes based on purchases (food supplying from distributors) and sales (sales mix). This calculation is called theoretical inventory. The term theoretical is used here because the quantities debited from your inventories are mainly linked to the ingredients in your recipes.

The theoretical inventory serves as a point of comparison with your actual inventory. The difference between the two is a critical information that can draw your attention to several factors such as:

differences between the quantities specified in your recipes and what was actually used during preparation
food loss
processing losses
theft of goods

Inventory Adjustments

Inventory adjustments are used to optimize food supply planning, calculate costs accurately and save time when taking full inventories.

You can make adjustments in several places such as:

Product catalog (Stocks)
Product sheet
Recipe sheet
Order book
Inventory section on the tablet app

Adding distributors and food supply invoices

Distributors connection types:

The type of connections are identified by the small cloud located to the right of their names.

Adding a food distributor

Go to Location > Distributors;
Press the add button ( + );
Select the distributor you want to add;
Enter your account number (for this location) then press Save;
The newly added distributor is now on the list and available for adding invoices;

Connected distributor (fully automatic injection)

Some food distributors benefit from a direct connection with RESTOCK. This connection enables live injection of your invoices as well as the automatic updating of your product directory and your theoretical inventory without any intervention.

As soon as your account is created with a connected food distributor, a request is sent to inject your purchase history for the last 3 to 12 months. Subsequently, your current invoices will be injected via a direct gateway with this distributor. Your product directory and theoretical quantities will be updated automatically.

Link products/recipes from your RESTOCK catalog to POS sales

To link products and/or recipes from your RESTOCK catalog to POS sales:

Go to Sales Mix section;
Find the POS sale to be linked (see table below) then click on the Edit icon (pencil) located right next to the unit cost; A new window will open;
Using the search field, find and select the item to link from your RESTOCK catalog;
You can link one or more items from the catalog;
Click Apply;

Modifiers / Replacements

For POS systems that support modifiers (replacements, extras), RESTOCK enables a section called ITEM(S) CANCELLED in the cost edition window (Sales mix). This feature allows to exclude items that have been replaced by others using a modifier from the sales data. For example, let's say a meal is sold by default with a side of rice, but a modifier Replace rice by salad has been applied to the sale. Simply find this modifier item in the sales mix and select Rice as the canceled item. Thus, each time this modifier is applied to a sale, Rice won't be debited from inventory and the cost will be adjusted considering the replacement.

How to get Labatt's purchase invoices from BEES

Why are BEES invoices incompatible with RESTOCK?

Some required information (e.g. account number, buyer's name, product codes etc.) is missing on the invoice;
Some item lines are hidden or inaccessible (due to the layout of these PDF documents);

|| We therefore ask our customers using BEES to follow the procedure below to get their original Labatt invoices (by email) in order to send them to RESTOCK.

Request your Labatt invoices from the BEES platform

From the main menu, just select “My Account” and click on the "Help & Support" tab.

Select "Contact Us" and click on “Open a new request”

Under request type, select "Financial requests & issues", followed by selecting "Financial document request" under the specify your problem field.

Under the detail field, choose "Invoice":

Then please indicate the period for which the documents are required using the "Start date" and "End date" fields.

Pairing a tablet / iPad with RESTOCK

To pair a tablet / iPad with RESTOCK:

Step 1 - From your RESTOCK Dashboard

Navigate to Locations, then select the desired location from the list (if applicable);
Click on Integrations (from the left navbar);
Add a new device using the add button ( + ) located on the right side of the Tablets section;
Name the device then activate any module/feature you want to make available on the app;
Press Save. A new window will open;
On the new window, click Generate pairing code;
This 6-digit pairing code will be used when you first login to the application;

Step 2 - From your tablet / iPad

Download and install the RESTOCK app for tablets from the App Store or Google Play:

Launch the app then enter your email address and the pairing code (previously generated from the dashboard):
